1Acceptance of Terms

These Terms & Conditions (“Terms”) govern your use of Wrkhive (“Platform”), a project and HR management platform operated by eSales Software Solutions LLP (“Company”, “we”, “us”, or “our”), accessible at wrkhive.com and portal.wrkhive.com.

By registering, accessing, or using the Platform in any capacity — whether as an Organization, Admin, Manager, or Employee/User — you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy.

2Definitions

• “Platform” – The Wrkhive web application available at wrkhive.com and portal.wrkhive.com.
• “Organization” / “Workspace” – A company, agency, or team that registers on the Platform to manage its projects, HR, and billing.
• “Admin” – An authorized representative of an Organization with administrative access to configure the workspace, manage users, roles, and billing.
• “Manager” – A user granted approval or oversight permissions over tasks, timesheets, or leave requests within an Organization.
• “User” / “Employee” – An individual added to an Organization’s workspace to use the Platform’s Modules for their day-to-day work.
• “Modules” – The functional areas of the Platform, including Tasks & Projects, Timesheets & Attendance, Leave Management, HR Lifecycle, Asset Tracking, Payable Days Reports, and CRM & Billing.
• “Customer Data” – Any data, records, or content that an Organization or its Users upload, submit, or generate through the Platform, including task data, timesheets, attendance and leave records, HR/employee records, asset records, and CRM/billing data.
• “Free Plan”, “Growth Plan”, “Enterprise Plan” – The subscription plans described in Section 6 and on our Pricing page.

3Eligibility & Registration

3.1 Organization Registration

Organizations must register on the Platform by providing accurate details including company name, address, GST details (where applicable), and authorized representative information. Registration is subject to verification by Wrkhive where required.

3.2 User Registration

Users are typically added to the Platform by their Organization’s Admin. Users must provide accurate personal and professional information. Misrepresentation of identity, role, or credentials is grounds for account suspension.

3.3 Account Security

Users are responsible for maintaining the confidentiality of their login credentials. You must notify us immediately at support@wrkhive.com if you suspect unauthorized access to your account.

4Platform Use & Acceptable Conduct

All users agree to use the Platform only for lawful, intended purposes. The following are expressly prohibited:

• Uploading false, misleading, or fraudulent information into tasks, timesheets, HR, or CRM records
• Attempting to access accounts, data, or workspaces not authorized for your role
• Using automated tools, bots, or scripts to scrape, harvest, or manipulate Platform data
• Sharing login credentials with unauthorized individuals
• Using the Platform to harass, defame, or harm any other user
• Reverse-engineering, decompiling, or attempting to extract the Platform’s source code
• Using data obtained through the Platform for any purpose outside your Organization’s legitimate business operations

Violation of these provisions may result in immediate account suspension and legal action.

5Customer Data & Accuracy

Organizations and Users are solely responsible for the accuracy, completeness, and legality of Customer Data submitted to the Platform, including but not limited to:

• Task, project, and timesheet entries
• Attendance and leave records
• HR lifecycle records (recruitment, onboarding, appraisal, offboarding)
• Asset allocation records
• CRM, client, and billing data

Wrkhive does not independently verify Customer Data. Admins and Managers within an Organization are responsible for reviewing and approving records generated by their Users.

6Subscription Plans & Pricing

Wrkhive offers the following plans, as further described on our Pricing page:

• Free Plan — free for up to 10 users, full access to all Modules, no time limit.
• Growth Plan — for teams of 11 and above (first 10 users always free), billed per user, monthly or annually.
• Enterprise Plan — custom modules, dedicated onboarding, SLA support, and multi-entity setups, priced via a separate agreement.

Pricing is quoted in Indian Rupees (INR) and is exclusive of applicable taxes (including GST) unless stated otherwise. We reserve the right to change pricing at any time; changes to your existing subscription will be communicated in advance and take effect from your next billing cycle. Fees are billed in advance and are non-refundable except as set out in our Refund Policy.

7Payments & Payment Gateway

All paid transactions on the Platform are processed through a secure, PCI-DSS compliant third-party payment gateway. Supported payment methods include credit/debit cards, UPI, net banking, and other modes made available by our payment gateway partner from time to time.

• Card, UPI, and net banking details are captured and processed directly by our payment gateway partner’s PCI-DSS compliant infrastructure. Wrkhive does not store your full card number, CVV, or net banking credentials on its own servers.
• A transaction is considered complete only upon receipt of a successful payment confirmation from the payment gateway. Access to paid Modules is activated automatically upon such confirmation; in most cases this occurs instantly, and in all cases within 7 business days as described in our Refund Policy.
• In the event of a failed, duplicate, or disputed transaction, the amount (if debited) will be handled in accordance with our Refund Policy and the payment gateway’s own settlement and reversal timelines, which are outside Wrkhive’s direct control.
• Wrkhive is not responsible for delays, failures, or errors caused by the payment gateway, issuing bank, card network, or UPI/net banking service provider.

8HR & Approval Workflow

The Platform operates on a configurable, approval-based workflow. Admins and Managers have the authority to:

• Review and approve or reject timesheets, leave requests, and expense claims at each approval level
• Configure roles, permissions, and reporting hierarchies within their Organization
• Manage HR lifecycle stages, asset allocation, and CRM pipelines for their workspace

Wrkhive is not responsible for approval decisions made by an Organization’s Admins or Managers, nor for any disputes arising from such decisions (e.g. disputed timesheet approvals, leave rejections, or performance appraisals). Users with concerns about internal approvals must first raise them with their Organization.

9Third-Party Integrations

The Platform may allow integration with third-party tools and services, including biometric attendance devices, accounting software (e.g. Tally export), payment gateways, and communication tools. By enabling an integration, you agree to:

• Comply with the third party’s own terms of service and privacy policy
• Use data exchanged through the integration only for legitimate business purposes
• Not hold Wrkhive responsible for the availability, accuracy, or data practices of third-party services

We reserve the right to disable any integration that poses a security, legal, or operational risk to the Platform.

10Intellectual Property

All intellectual property on the Platform, including but not limited to the Wrkhive brand, logo, platform design, workflows, and software, is owned exclusively by eSales Software Solutions LLP and is protected under applicable intellectual property laws.

Organizations and Users retain ownership of the Customer Data they upload but grant Wrkhive a non-exclusive, royalty-free license to host, process, and use such data solely for the purpose of providing and improving the Platform.

11Privacy & Data

Your use of the Platform is also governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the Platform, you consent to the collection, processing, and use of data as described in the Privacy Policy.

12Disclaimers

The Platform is provided on an “as is” and “as available” basis. Wrkhive makes no warranties, express or implied, regarding:

• The accuracy, completeness, or reliability of Customer Data entered by Organizations or Users
• Uninterrupted or error-free operation of the Platform
• Business, HR, payroll, or financial outcomes resulting from use of the Platform
• The conduct or decisions of any Organization, Admin, Manager, or other user

13Limitation of Liability

To the maximum extent permitted by applicable law, Wrkhive shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from:

• Your use of or inability to use the Platform
• Unauthorized access to or alteration of your Customer Data
• Decisions made by an Organization’s Admins or Managers based on Platform data or reports
• Failure to achieve any business, HR, or compliance outcome

In no event shall Wrkhive’s total liability exceed the amount paid by you to access the Platform in the 12 months preceding the claim.

14Termination

Wrkhive reserves the right to suspend or terminate any account, with or without notice, for violations of these Terms, non-payment of applicable fees, fraudulent activity, or any reason it reasonably deems appropriate.

Upon termination, your right to access the Platform ceases. Customer Data is retained post-termination in accordance with our Privacy Policy. Organizations may request account closure by contacting support@wrkhive.com.

15Changes to These Terms

Wrkhive reserves the right to modify these Terms at any time. Material changes will be communicated via email or a prominent notice on the Platform. Continued use of the Platform after changes take effect constitutes acceptance of the revised Terms.

We recommend reviewing these Terms periodically. The “Last Updated” date at the top of this page reflects the most recent revision.

16Governing Law & Dispute Resolution

These Terms are governed by and construed in accordance with the laws of India. Any disputes arising from these Terms or your use of the Platform shall be subject to the exclusive jurisdiction of the courts located in Puducherry, India.

Before initiating formal legal proceedings, both parties agree to attempt resolution through good-faith negotiation for a period of 30 days.
